Getting Started
vina is an AI-powered business operator built directly inside VasyERP. It gives you instant answers about your business — your sales, inventory, cash flow, customers, vendors, and operations — by reading your live ERP data and responding in plain language.
Think of vina as a smart business colleague who is always available, always accurate, and knows your entire business inside out. Instead of pulling reports, you simply ask a question and get a clear, cited answer with a recommended next step.
vina works inside your VasyERP account. It reads from the modules you have enabled — Sales, Inventory, Finance, CRM, POS, Purchasing, and others. When you type a question, vina understands the business intent behind it, reads the relevant data, and generates a clear answer along with supporting numbers, a recommendation, and a source citation so you know exactly where the data came from.
No exports, no waiting for reports, no manual analysis required.
vina is designed for anyone who makes decisions based on business data:
- Business Owners and CEOs who need a real-time view of performance
- CFOs and Finance Teams tracking cash flow and receivables
- COOs and Operations Managers monitoring multi-outlet performance
- Sales Managers identifying growth opportunities and trends
- Purchase Managers managing vendors and reorder decisions
- Store Managers tracking inventory and daily targets
vina respects your existing VasyERP user roles — each person sees only what they are permitted to see.
You can ask vina anything you would normally need a report to answer. Examples include:
- Sales: "What are my top 10 products this quarter?"
- Inventory: "Which products should I reorder before the weekend?"
- Finance: "What is my cash position today?"
- Customers: "Which customers have not ordered in 45 days?"
- Purchasing: "Which vendors are consistently late on delivery?"
- Operations: "Compare my Ahmedabad and Surat outlet performance this month."
No. vina is a business intelligence operator, not a chatbot. A chatbot follows scripts and responds to keywords. vina understands business context — it knows the difference between "slow-moving products" and "low-stock products", understands that "konsa item slow hai" is an inventory question, and provides answers with cited business data rather than generic text.
vina can also draft actions — like a Purchase Order or a customer follow-up email — based on the intelligence it surfaces. It is an operator that knows your business.
Activation takes under 5 minutes. There is nothing to install, no data to migrate, and no APIs to connect. vina is already inside VasyERP. You go to Settings → vina → Enable , select which modules to give vina access to, and you are ready.
For the best experience, vina works best when you have at least 90 days of ERP history — it uses this to build context about your business patterns before your first session.
No formal training is needed. If you can type a WhatsApp message, you can use vina. The onboarding flow takes 3 steps — vina scans your last 90 days of data, shows you what it has learned about your business, and lets you confirm or adjust. From there, you start asking questions.
For teams, a short walkthrough from your VasyERP consultant (included for beta customers) is recommended to show different roles the questions most relevant to them.
Security & Privacy
Yes. vina operates entirely within VasyERP's infrastructure. Your business data — invoices, inventory records, customer information, bank balances — never leaves VasyERP . vina reads your data to answer a question, generates the response, and does not export, copy, or store your records externally.
Every module is opt-in. Every action is logged. vina inherits your existing user permissions.
No. Your business records stay inside VasyERP's infrastructure at all times. vina reads what it needs to answer your question — within the same secure environment — and produces a response. Nothing is exported to third-party servers or stored in any external AI system.
No. vina does not share, transmit, or expose your business data to any external party. It is a closed system — your data stays in your VasyERP account, and vina's intelligence runs within that same environment.
Your conversations are visible only to you and to administrators with the appropriate permissions in your VasyERP account. Each user's conversation history is separate. No one from VasyERP can read your business queries without your explicit consent.
Yes. Every query sent to vina, every record it reads, and every draft it creates is logged in a full audit trail. Administrators can access this log at Settings → vina → Activity and filter by user, date, module, or question. The log is exportable for compliance purposes.
Yes, with full granularity. Each module — Sales, Inventory, Finance, CRM, POS, Purchasing, Accounting, Employee — is off by default. You enable only what you want vina to see. You can revoke access to any module at any time from Settings → vina → Data Sources . Additionally, vina inherits your existing VasyERP user role permissions — a user with no Finance access cannot ask vina Finance questions.
Data & Accuracy
vina's answers are based entirely on your actual VasyERP records — not estimates, averages, or assumptions. For factual queries like "what is my cash position today" or "which products are below reorder level", the answer is as accurate as your ERP data.
For analytical queries like forecasts and recommendations, vina uses your historical patterns to generate intelligent projections. These should be treated as strong signals for decision-making, not guaranteed predictions.
vina will tell you clearly when it cannot find the data you are asking about — it does not fabricate numbers. For example, if you ask about an outlet that is not yet onboarded, vina will respond: "I couldn't find data for this outlet. Want me to run this for your other locations?"
This transparency is intentional — an answer you can trust is more valuable than a fast but unreliable one.
Yes, and vina is transparent about this. Every answer includes source citations — which module, date range, and outlets the data came from — so you can verify at any time. For complex multi-step calculations, vina may return approximate answers and will say so.
Use the thumbs-down feedback button on any answer to flag an issue. The team reviews all feedback and this directly shapes accuracy improvements during beta.
Yes. Every vina answer includes a source citation panel at the bottom showing which modules were read, which date range was used, and which outlets or entities were included. You can click through to view the underlying records directly in VasyERP.
vina's recommendations are based on patterns it identifies in your actual business data — sales velocity, seasonal trends, vendor history, customer behaviour, and cash flow patterns. It combines these to suggest actions like restocking a product, following up with a customer, or renegotiating a vendor SLA.
Recommendations are always accompanied by the data that supports them, so you can evaluate and decide — vina advises, you approve.
Language Support
Yes. English is fully supported and has the highest accuracy. You can ask in natural business English — no special commands, no rigid formats.
Yes. vina understands Hindi in both Devanagari script and Roman transliteration. Business intent is detected accurately in natural Hindi.
Yes. vina supports Gujarati in both script and Roman transliteration. This is particularly valuable for Gujarat-region businesses where store and field staff are more comfortable in their native language.
Yes, and Hinglish is one of vina's strongest modes — because it is how most Indian business professionals naturally communicate. You do not need to write formally; just ask as you would in a WhatsApp message to a colleague.
Beyond English, Hinglish, Hindi, and Gujarati, vina currently supports Marathi, Tamil, Bengali, Telugu, and Kannada. Regional language support is improving through beta — accuracy may vary for technical business terms in some languages.
Language is detected automatically. You do not need to set a language preference — just ask in whichever language is most natural for you.
No. vina understands plain, conversational language. You do not need to use specific command words, structured queries, or any special format. Ask as you would ask a person who knows your business.
Transactions & Actions
vina can draft transactions — it prepares documents like Purchase Orders and email drafts for your review. It does not create, submit, or post any transaction without your explicit review and confirmation. This is intentional — vina drafts, you decide.
Yes. vina can draft a complete Purchase Order based on your reorder history, vendor preferences, and current stock levels. It pre-fills the vendor, items, quantities, terms, and delivery location based on your last orders for those SKUs.
The draft is presented to you for review. You confirm, edit, or cancel — nothing is submitted until you approve.
vina can draft customer follow-up emails and vendor communication emails based on the context it surfaces — for example, a payment reminder for an overdue account. The draft is shown to you for review and editing before anything is sent. vina does not send communications automatically.
No. vina is read-only by default for all modules. The only write action available is drafting — creating a draft document that you review before it becomes a record in VasyERP. vina cannot update prices, modify stock levels, or change any record without your explicit confirmation at each step.
No. vina has no ability to delete any record in VasyERP. Deletion is entirely outside vina's scope and permissions. vina reads data and drafts documents — it never modifies, deletes, or overwrites existing records.
No. Approval authority always rests with a human. vina can surface what needs approval — for example, "You have 3 POs awaiting your review, total ₹4.2L" — but approval is always done by the authorised user within the VasyERP approval workflow. vina supports your decision-making; it does not replace your authority.
Sales & Revenue
Yes. vina analyses your sales velocity, category trends, seasonal patterns, and customer behaviour to surface specific growth opportunities. It can tell you which categories are accelerating, which customer segments are underleveraged, and which products have strong momentum that warrants increased stocking.
Yes. vina can compare revenue, basket size, sell-through rate, and customer counts across your outlets in a single question. It automatically identifies which outlet is growing fastest, which is underperforming, and surfaces the specific product or category differences driving the gap.
Yes. vina can produce a ranked product leaderboard by revenue, units, margin, or growth rate — for any time period, any outlet, or any category. It also shows the change vs the previous period automatically.
Yes. vina can identify products, categories, or outlets where revenue, volume, or margin is trending down — and provide context as to why (seasonal, pricing, stock availability, etc.) to help you take the right corrective action.
Yes. vina can project sales for the next 30, 60, or 90 days based on your historical trends, seasonal patterns, and current sales velocity. Forecasts are accompanied by confidence context — vina tells you when a forecast is based on strong pattern data vs limited history.
Inventory Management
Yes. vina monitors stock levels across all your outlets in real time and identifies SKUs that are below reorder threshold, with an estimated days-of-stock remaining based on current sales velocity. It prioritises the most urgent items so you know what to act on first.
Yes. vina not only identifies what needs restocking but suggests how much to order based on your sales velocity, upcoming demand patterns (weekends, events, season), and preferred vendor history. It can also draft the Purchase Order for your review — ready to confirm with one action.
Yes. vina identifies SKUs that have not moved in a defined period (e.g. 30, 60, or 90 days), highlights their current stock value, and flags expiry risk where applicable. It can also suggest promotional or consolidation actions to reduce dead stock.
Yes. vina's proactive inventory monitoring means stockouts are flagged before they happen — not after. By analysing your weekend and seasonal sales patterns, vina identifies items likely to sell out and notifies you with enough lead time to place a restocking order. This is one of the highest-value use cases for FMCG and retail businesses.
Yes. vina can project inventory requirements for the next 7, 14, or 30 days per outlet and SKU — combining historical velocity, upcoming promotions, and seasonal trends. This helps you plan purchasing cycles more efficiently and reduce both stockouts and overstocking.
Purchasing & Vendor Management
Yes. vina analyses your purchasing history, current stock levels, sales velocity, and upcoming demand to recommend what to buy, how much, from which vendor, and when. It takes into account vendor lead times and your preferred terms to make practical suggestions.
Yes. Based on your vendor history, vina can identify which suppliers have the best on-time delivery rates, most competitive pricing, and strongest relationship for specific SKUs. It defaults to your most-used vendor for each product category when drafting POs, which you can change before confirming.
Yes. vina can surface purchasing risks including overdue purchase orders, single-vendor dependency for critical SKUs, vendors with declining delivery performance, and over-ordering patterns that tie up cash unnecessarily.
Customer Intelligence
Yes. vina can analyse purchase frequency, average order value, product preferences, and payment patterns for your customer base. It identifies buying trends, seasonal behaviour, and shifts in purchasing patterns that signal risk or opportunity.
Yes. vina can list customers who have not placed an order in a defined period (e.g. 30, 45, or 60 days), ranked by their historical value to your business. This makes it easy to prioritise re-engagement efforts and draft personalised follow-up communications.
Yes. vina can produce a ranked customer list by revenue, order frequency, margin contribution, or lifetime value — for any period or outlet. It also flags customers who are growing significantly (worth deepening) and those whose order value is declining.
Yes. Based on customer data, vina can suggest specific next actions: calling a high-value customer who hasn't ordered recently, offering a volume incentive to a growing account, or sending a payment reminder to an overdue customer. It can draft the communication for your review.
Finance & Cash Flow
Yes. vina shows your current cash position across all bank accounts, highlights significant inflows and outflows, identifies unusual movements, and provides context — for example, flagging that ICICI dropped 12% due to a vendor payment.
Yes. vina can produce a full receivables list — customers who owe you money — sorted by amount, age, or last contact date. You can filter by threshold (e.g. "above ₹50,000") or overdue period (e.g. "more than 60 days overdue").
Yes. vina builds 30-day cash flow projections by combining your confirmed purchase orders (outflows), expected receivables (inflows), recurring payment patterns, and 90-day historical trends. This gives you a realistic view of cash position by week — without needing a CA or a spreadsheet.
Yes. vina can identify financial risks including: large overdue receivables, upcoming cash shortfalls based on PO commitments vs expected inflows, margin compression trends, and unusual expense spikes. It frames these as actionable insights so you can address them proactively.
Multi-Store & Operations
Yes. vina natively understands multi-location business structures. You can ask a question about "all outlets", a specific region, or compare specific locations — all in a single question. vina consolidates data across outlets automatically and presents a clear view at whatever level you need.
Yes. vina can compare outlets across any metric — revenue, basket size, sell-through rate, low-stock frequency, customer retention, and more. It highlights what is driving the performance difference between branches so you know where to focus your attention.
Yes. vina tracks key operational metrics — inventory turnover, order fill rates, vendor on-time delivery, customer order frequency, and daily revenue vs target — across your business and surfaces anomalies proactively. You can ask for a status check at any time.
Yes. Through the Morning Briefing feature, vina delivers a daily summary of yesterday's key numbers, anomalies, alerts, and today's priorities. This gives you a complete operational picture before your day begins without opening a single report.
Morning Briefing
The Morning Briefing is vina's daily summary — delivered at a time you choose — that covers yesterday's revenue and key anomalies, today's open tasks and reminders, low-stock alerts, and overdue customer payments. It gives you a complete view of your business health before you start your day.
vina reads your previous day's data across all enabled modules, identifies what changed, what is at risk, and what needs attention today — then compiles this into a concise, readable summary. It appears in your vina home screen and optionally in your email at a scheduled time.
Yes. During vina onboarding you select your preferred delivery time, channel (in-app, email, or both), and the categories most relevant to your role. You can also pin specific questions as starter prompts — so vina's daily briefing always begins with the insights that matter most to you.
The Morning Briefing is delivered inside vina (on VasyERP web or mobile) and optionally via email. The default delivery time is 8:30 AM IST. You can adjust this in Settings → vina → Morning Briefing .
Conversation History & Memory
Yes. Every conversation you have with vina is saved in your conversation history. vina references recent context — for example, if you asked about cash position in the morning, it will acknowledge this when you return in the afternoon and offer to refresh or continue.
Yes. Your conversation history is searchable by keyword, date, or module tag. You can quickly find any previous analysis, recommendation, or draft by searching for the topic or the question you asked.
Yes. You can pick up any previous conversation from your history. vina will reload the context from that session and let you continue, ask follow-ups, or refresh the analysis with today's data.
Yes. You can pin up to 5 conversations that you want quick access to — for example, your weekly revenue review or your overdue receivables check. Pinned conversations appear at the top of your history and as quick-start options on your vina home screen.
Mobile & Accessibility
Yes. vina is fully accessible on mobile through VasyERP's mobile interface. The conversation view, answer cards, and source citations are all optimised for mobile screen sizes. You can ask questions, view answers, and review PO drafts from your phone — ideal for business owners and managers on the move.
Yes. vina is cloud-based and accessible from anywhere you can access VasyERP — your office, home, or on the road. All you need is your VasyERP login credentials and an internet connection.
Yes. vina works on tablets through the VasyERP web interface. The layout adapts comfortably to tablet screen sizes, making it well-suited for use during meetings, store walkthroughs, or management reviews where a tablet is the primary device.

Why vina — Competitive FAQs
Reports show you what happened. vina tells you what to do about it. Reports require you to open them, interpret them, cross-reference them with other reports, and draw your own conclusions — a process that typically takes 1–3 hours per week for a business owner.
vina gives you the answer in one question, combines data from multiple modules automatically, and surfaces the recommended action — in under 10 seconds. It does not replace reports; it replaces the time you spend trying to make sense of them.
Dashboards show you a fixed set of pre-designed metrics. vina answers the question you have right now — which may not be on any dashboard. You can ask about any combination of data, any time period, any outlet, or any customer — and vina assembles the answer on the fly from your live data.
A dashboard tells you your top 5 products. vina tells you which of your top 5 products is about to go out of stock, who your biggest buyer of that product is, and whether you should call Sunrise Distributors today or tomorrow.
Generic AI tools have no access to your business data. They can write about inventory management in general terms, but they cannot tell you that Britannia Bourbon 100g at your Ahmedabad outlet has 142 units left and will run out by Friday based on your weekend sales pattern.
vina reads your actual VasyERP records — live, specific, verified. Every answer is grounded in your real numbers, not general knowledge. And because it lives inside VasyERP, your data never leaves your secure environment.
vina is most impactful for these common business problems:
- Stockouts — vina identifies SKUs at risk before shelves go empty
- Cash blind spots — live cash position, 30-day forecast, overdue receivables in one question
- Report overload — one question replaces hours of manual analysis
- Multi-outlet complexity — instant cross-outlet comparisons and anomaly detection
- Slow customer follow-up — surfaces at-risk and overdue accounts with draft communications ready
- Purchasing inefficiency — recommends what to order, from whom, and when
Speed of decision-making. The time between a business problem occurring and you taking the right action is what determines business outcomes. vina compresses that gap from hours or days to seconds. When a product is about to stock out, when a customer is about to churn, when cash is about to tighten — vina surfaces it early, with the right context, so you can act while it still matters.
vina eliminates the most time-consuming activities in business operations: pulling reports, exporting to Excel, manually cross-referencing data from different modules, and building ad-hoc analyses for management reviews. Conservative estimates for a 3-outlet FMCG business: 3–5 hours of analytical work per week replaced by conversational questions. At ₹40,000/month for an analyst, that is ₹50,000+ in annual savings — before accounting for the faster decisions that drive revenue.
Most business owners have good visibility of what happened yesterday but poor visibility of what is about to happen. vina changes this by combining your historical patterns with live data to give you a forward-looking view — which product will stock out, which customer will stop ordering, whether cash will tighten next week.
This shifts you from reactive to proactive — which is the single biggest competitive advantage a business operator can have.
